๐Ÿ™‹ Volunteers

Every job covered, before the day

Someone has to drive, make the coffee and bring the kit. Add those jobs to the event, ask people by name and watch the open spots fill up, instead of asking around in a group chat.

How it works

From open spots to a full roster

  1. 01

    Set up your roles

Make a list of the jobs your community needs again and again, like Driver, Coffee or Kit. Once, for the whole space.

  2. 02

    Add jobs to an event

Pick a role and how many people it needs. Three drivers, two on coffee, one for the kit.

  3. 03

    Ask people by name

They get a notification and say yes or no. Each answer fills a spot or opens it again.

Volunteer roles

One list of jobs for the whole space

The same jobs come back every season. Name them once in the space settings, give each one a color, and they're ready for every event you plan.

  • โœ“

Roles like Driver, Coffee, Kit or Setup, named the way you say them

  • โœ“

A color per role, so the event page reads at a glance

  • โœ“

Reorder, rename or retire a role when things change

  • โœ“

Organizers pick from the list when they plan an event

Asking and answering

A clear yes or no, not a maybe in a thread

Ask someone and they get a notification. They accept or decline right on the event, and you hear back. A no doesn't leave a hole you forget about: the spot simply opens again.

  • โœ“

Asked people answer each job on its own

  • โœ“

Whoever asked gets told when they answer

  • โœ“

A declined job turns back into an open spot

  • โœ“

Organizers can take a spot themselves

  • โœ“

A reminder for anyone who hasn't answered, at most once a day

๐Ÿ”ข

Spots per job

Say how many people each job needs. Open, waiting and filled spots are counted for you.

๐Ÿ‘€

Members see who's helping

Everyone sees the volunteers who said yes. Organizers also see who was asked and who declined.

๐Ÿ™‹

Your own requests

Members see what they were asked to do, right on the event, with Accept and Decline next to it.

๐Ÿ‘ฅ

Shared with co-organizers

Collaborators on the event can add jobs and ask people too, not just the person who created it.

๐Ÿ”’

The right people only

You ask people from the group the event belongs to, so the youth team's jobs stay with the youth team.

๐Ÿ“ฑ

On the web and in the app

Plan the jobs on a laptop. Answer on the phone, from the notification.

Clubs

Drivers for the away match, someone at the kiosk and two parents to put up the goals.

Churches

Welcome team, coffee after the service, tech for the sound and a reader for the Sunday.

Associations and events

Setup crew for the summer party, the bar, the raffle and someone to tidy up afterwards.

Good to know

What volunteers doesn't do yet

This is the first version. Here is what it leaves out, so you can plan around it.

!

People don't sign up for a job themselves.

An organizer asks someone, and that person says yes or no. There is no open list to pick a spot from.

!

Single events only.

Volunteers work on one-off events. A weekly or monthly series can't have jobs yet.

!

No shifts or swaps.

A job covers the event, not a time window. Two people can't trade a job, and there's no check-in on the day.

Questions about volunteers

Who can add jobs and ask people?

+

The event's organizers and collaborators, and anyone who can manage events in the space. The list of roles itself is set up in the space settings by people who manage the space or its events.

What happens when someone says no?

+

Their spot opens again, and the organizer sees the decline next to it. You can ask someone else straight away. If they change their mind and accept later, they get the spot back as long as it's still open.

Does accepting a job mean you're going?

+

No. Helping out and attending are kept apart, so volunteers don't take up spots when an event is capped. People still answer Going on the event if they're also coming as a guest.

Can members see who's helping?

+

Yes. Everyone who can see the event sees the volunteers who accepted, and each person sees what they were asked to do. Pending requests and declines are only visible to organizers.

Can I remind people who haven't answered?

+

Yes. Send a reminder and they get one push notification. To keep it friendly, each person can be reminded once a day at most.

Does it cost extra?

+

No. Volunteers are part of every plan, including Free for up to 100 members.

Fill the jobs for your next event

Create your space, add the roles you always need and ask the first people. You'll see what's still open before the day comes.
