Roles and permissions

What members can do by default, how to create roles, and how channel permissions fit in.

Everything in a space is governed by a small set of permissions. Owners and admins have all of them. Members get whatever the space's defaults say, plus anything their roles add.

Default permissions for all members

Open Settings, go to Permissions and look at Default permissions for all members. Each switch is one thing every member may do:

  • Create events and Manage events - add events, and edit or delete other people's.
  • Create invitations and Remove members - grow the space, and shrink it.
  • Channels - create, edit and delete channels.
  • Manage groups and View all groups - create groups, and see groups you are not in.
  • Upload files - add, edit and delete files.
  • Manage roles, Manage integrations and Manage subscription - the admin-style switches. Leave these off for members unless you have a reason.
  • Manage space - change the space's name, images and settings.

Roles

A role is a named bundle of permissions you give to some people. Create a Coaches role that can create events, or a Treasurer role with Manage subscription so the person paying does not have to be the owner.

  1. Under Permissions, add a role. Give it a Role name and a Role color.
  2. Tick the permissions the role adds on top of the defaults.
  3. Assign it on People by opening a member's menu and choosing Select a role.

Deleting a role removes it from everyone who had it; they fall back to the defaults.

Channel permissions

Each channel has its own settings with Channel permissions. By default Everyone can post. Replace that with a role or specific members to make an announcements channel where only coaches post, or a board only the committee can edit. Manage channel decides who can rename, edit or delete the channel itself.

Groups

Inside a group, a member is either a group admin or a group member. Group admins run the group's channels, events and files. The space's defaults still apply inside groups.
