Add a program to an event

Show what happens when during an event, from a single evening to a weekend away, and let it follow the event when it moves.

Last updated October 12, 2026

A program shows what happens when during an event: doors at 18:00, dinner at 19:00, the quiz at 21:00. It sits right under the time and place on the event page, so nobody has to dig through the description for it.

Add a program

  1. Create or edit the event.
  2. Under Program, click Add a program.
  3. Pick a time, and click Add end if the item has an end time too.
  4. Give it a title. Place and Note are optional, for things like "Hall B" or "Bring a notebook".
  5. Click Add another item for the next one. It starts where the last item ends, or an hour after it if that one has no end time.

Items always show in time order. Change an item's time and it moves to its place.

On the mobile app, tap Add a program, fill in the item and tap Add. Tap an item later to change it, or Remove it.

Events over several days

When an event runs over more than one day, each item also gets a day, like Day 2 ยท Sat 24 Oct. The program then shows a heading for each day, such as "Saturday 24 October ยท Day 2". Days are counted from the event's start, so they stay right when the event moves.

Swap two items

On the web, drag an item by the handle on its left. The times stay where they are and the items move between them: drag Lunch above Breakfast and Lunch takes the 09:00 slot while Breakfast moves to Lunch's old one.

When the event moves

The program follows the event. Move the event to another day and every item moves with it, at the same clock times.

If you shorten the event or move its start, an item can end up outside it. That item is marked Outside the event's time, and the event can't be saved until you fix or remove it.

Repeating events

A repeating event shows the same program on every date. One date can have a program of its own, for a tournament day or a closing session:

  1. Open that date and edit it. On the web, pick Edit this event rather than Edit event series; on the mobile app, tap Edit this occurrence.
  2. Under Program, click Program for this occurrence. It starts as a copy of the series program.
  3. Change, add or remove items and save.

Only that date changes. Editing the series program later leaves it alone, and Use the series program on that date hands it back. See Repeating events.

Where the program shows

  • On the event page, under the time and place. Long programs show the first few items and a Show all button.
  • On the public page, if the event is public. See Make an event public.
  • In calendar entries, when someone uses Add to calendar.
  • In the email guests get when they register, and in their reminder the day before.
